Rockford Public Schools Operations
Rockford Public Schools encompasses approximately 165 square miles in Winnebago
and Boone counties. It is among the largest school districts in Illinois
and the second-largest employer in the Rockford region. The school
district serves more than 28,500 pre-K to grade 12 students. The
district’s Operations Department is a community asset, where community groups
annually use RPS 205 properties for meetings, events and recreation.
Community Use of School Facilities
Rockford Public Schools encourages the use of school buildings and grounds by the community for educational, recreational, civic, and cultural activities to the extent possible under the law. RPS 205 believes that school facilities are an important resource in developing and sustaining lifelong learning, in promoting intergovernmental cooperation, and in encouraging citizen participation in community activities.
RPS 205 facilities are available for rent to the public year-round, depending upon availability after use by school functions. Facility rental request forms can be obtained online or by contacting the Facility Rental Office at the Operations Support Center at 1907 Kishwaukee Street, Rockford IL.
After completing a Rental Request for Building Usage Form, Community Usage Guidelines, please submit it to the Facility Rental Office at least 20 working days prior to the event. If you chose not to do the online submission, the printed forms will need to be sent along with any other required forms by:

The Rockford Board of Education policy #8.20R allows for public use of school facilities. The district operates two stadiums, five high schools, seven middle schools, and thirty-five elementary school buildings. Typical areas available for public rental include athletic fields, auditoriums, cafeterias, classrooms, gymnasiums, pools, and stadiums. Child sized furniture is available in elementary schools, and adult size furniture is available in middle and high schools. These facilities may be available for public use after 6:00pm on school days, and on weekends during the school year. Summer rentals may be arranged. Hourly fees are charged for using Rockford Public Schools buildings. Custodial services are charged when applicable. Additional Paperwork is required for rental of Athletic/Stadium Fields, Auditoriums, and Pools.
How to Rent a Rockford Public Schools Facility
Time Frame for Filling Rental Requests
Requests for use of facilities must be received in the Building Services Rental Office at least 20 working days prior to the event. Due to the large volume of requests, we are unable to confirm availability and provide a rental contract on the same day requests are received.
If a facility is available on the dates and times needed, a rental contract will be issued; either by email or mailed to the renter for signature. Buildings cannot be used without a signed contract by requester or RPS 205's Director of Operations. Changes or corrections must be made in writing and include the contract number. Sign and return one copy of the contract to the Building Services Rental Office. Rentals are NULL and VOID if the Building Services Rental Office does not receive a signed copy of the rental contract at least 10 days prior to the first rental date. Keep a copy for your records. It is a good idea to take a copy of the contract to the school on the first rental date.
Payment is due upon receipt of invoices which are mailed at the end of each month. Out of state renters are required to pay 1/2 of rental fee two weeks prior to rental date or rental contract will be canceled. Payments should be made Payable to Rockford Public Schools

Cancellation of Rental Bookings
When RPS 205 schools are closed due to weather, rentals and public use are canceled at no penalty to the renter. Renters are required to notify the Building Services Rental Office 10 working days prior to cancelation.
